Set up your sending
Cold email goes out from dedicated sending domains, never from your main domain, with a few mailboxes on each. VibeSell registers them, sets the DNS up, creates the mailboxes and warms them up. The domains and mailboxes are included in your plan.
1. Choose the source
Section titled “1. Choose the source”Once the sizing is confirmed, choose_sending_source returns a question for you:
| Choice | Id | What it means |
|---|---|---|
| Start sooner | already_warmed |
Addresses already prepared by the email provider, without your brand’s name. Subject to availability and a check that they can send. |
| Send under my brand | own_names |
Addresses created for you on names built on your brand, ready after about 2 business days of preparation (weekends not counted), then warmed up. |
You can also answer in your own words. The assistant passes your answer back in answers and the
tool records it. It never answers for you.
2. Keep the names
Section titled “2. Keep the names”propose_domains takes candidate .com names built on your brand and the real people who
sign the emails (mailboxOwners: first and last name). It checks which names are free,
keeps exactly as many as your sizing calls for, and shows you the whole setup:
Your emails will come from 3 names of your own.getdentalcrm.com, ana@ · ana.duval@ · a.duval@ · ana.d@trydentalcrm.com, ana@ · ana.duval@ · a.duval@ · ana.d@dentalcrmhq.com, ana@ · ana.duval@ · a.duval@ · ana.d@Nothing is registered yet. You confirm the registration on the next card.
- set_it_up — Keep these names- other_names — I want other names (you give me a word, I look again)To check names without proposing them, check_domains reports which candidates can really be
set up. Only .com can be set up for now.
list_warmed_domains reads the shelf of domains the email provider holds already warmed
today. The shelf rotates every day, so an assistant never answers from memory, and an empty
answer means the shelf is empty today.
propose_warmed_domains shows you that shelf, closest to your brand first, and keeps the
domain you pick. Warmed domains carry no name of your brand and no address named after your
people.
Keeping names buys nothing and reserves nothing at the registrar: the order checks them again before its approval card opens. To switch to the other source, answer the source card again.
3. Approve the order
Section titled “3. Approve the order”order_sending_setup prepares the purchase of exactly the names and people you kept, and opens
an approval card like this one:
Set up sending domains and mailboxes — Register 3 domains and set up 12 mailboxes
Registers dentalcrmhq.com, getdentalcrm.com and trydentalcrm.com in your name. Sets up 12 mailboxes on them, 4 on each, sent from Ana Duval. They join the sending addresses your subscription covers: there is nothing extra to pay here. A registered name cannot be given back. Once you approve, there is nothing left for you to do: you get an email as soon as the mailboxes are set up, and their warmup starts on its own.
It needs an active plan. On your click, VibeSell places the order. A registered domain cannot be given back.
4. Warm up
Section titled “4. Warm up”Delivered mailboxes start warming up on their own: the provider exchanges emails between real
inboxes to build their reputation. Nothing is sent to prospects. start_warmup starts any delivered
mailbox that is not warming yet.
Follow it with get_sending_setup: each mailbox shows its state and its warmup score.
| State | Meaning |
|---|---|
| Setting up | Requested, being provisioned, DNS pending or connecting. |
| Warming up | Building its reputation. |
| Ready | Warm, ready to send. |
| In your campaign | Sending for the live campaign. |
| Needs attention | Degraded or throttled by the provider. |
| Warming up again | Re-warming after a problem. |
| Stopped: health problem | Quarantined. |
A campaign can’t launch while a mailbox is still warming up — use that time to write your sequence and import your leads.
